Here is a list of frequently asked questions from employees. For each one, we offer an answer that may inspire you or that you can share directly with your employees. Note that when the text is in gray and italics, it means the answer is specific to your context and therefore must be adapted.
1. Why put this approach in place with employees?
We have set ourselves the goal of creating and supporting a motivating and inspiring work climate for all employees. To achieve this, we need to know what sets us apart as an employer so we can build on our strengths, but also to identify your concerns in order to adapt our organizational practices and culture. Our goal is to understand what motivates you most in your work and what could be improved to create an environment you enjoy and that reflects who you are.
2. How are these surveys different from those conducted previously?
(If your company has already conducted engagement surveys, explain here why you're relaunching this initiative or why you're transforming it. For example, in an environment where everything changes quickly, it becomes essential to understand how employees experience these changes and whether they have everything they need for their work to keep motivating them day after day.)
3. Why is it important that I respond to these surveys?
The survey results will help target the right actions to improve the work climate. Your manager will have access to the results specifically for your team and will be able to act concretely on what will have the most impact for you. As an employee, your impressions and comments through the surveys will help align efforts on what matters most right now.
4. Why did you choose the firm Amélio?
(If these are your first steps with Amélio, we encourage you to present the elements that led you to choose the platform. This will demonstrate to employees that you carefully selected the tool to meet their needs. If you are changing survey platforms, explain the benefits of this change and demonstrate how it will further help improve the work climate.)
5. How does the continuous survey approach work?
The overall survey includes more than 115 questions, spread across different factors of the work climate. At the set frequency, questions will be randomly selected by the platform, which will build a short survey for each employee. Employees will not all receive the same questions at the same time, which makes it possible to measure aspects of the work climate on an ongoing basis.
6. Are the surveys confidential?
Your responses are collected and stored by Amélio in accordance with their privacy policy and with our organization's standards. Please know that your responses are entirely confidential and that under no circumstances will your identity be disclosed. To protect respondents' identities, results are aggregated by employee groups. Results for a group can only be available when the confidentiality threshold of 5 or more respondents is reached.
Survey period
7. How often will these surveys take place and how will I be able to respond?
When: The surveys will be sent every week/month/quarter. How: For each survey, you will receive an email from
[email protected] inviting you to complete your survey. You can complete your surveys on an electronic device (computer, cell phone, tablet). How long: The survey takes less than 10 minutes to answer. End of the survey: The surveys are sent automatically and will be accessible at all times until the next occurrence or until you have submitted your responses.
8. Can I start answering and finish later?
Yes, responses are saved as you complete the survey, but they remain editable. It is therefore possible to close the page and reopen it at another time to continue your survey. However, it is essential to click "Submit" at the end of the survey for your responses to be counted in the results. Once your responses are submitted, they can no longer be modified.
9. Can I add comments?
Yes, and it is strongly encouraged to do so. You will have the option to clarify your answers by adding a comment or a suggestion for improvement. Your clarifications will help your manager and the organization better contextualize the results and target relevant actions. Employee comments will be grouped under each question.
10. What should I do if I did not receive my survey?
First check your junk mail folder. In rare cases, your invitation may have ended up there. Otherwise, contact your HR resource person to confirm whether the email address provided by your employer matches the one you use.
Results
11. When and how will we get more information about the results of these surveys?
Your manager will have access to the results at all times. They will first carefully read the comments and results to identify the key points to discuss as a team. At a frequency to be determined together, you will therefore have the opportunity to contribute to this reflection in order to identify simple and quick actions to implement, which will help improve the work climate within your team. During the next surveys, you will be able to reassess the impact of the actions taken and help your team target new priorities. This collaborative and ongoing approach will foster the maintenance of a work environment that motivates you.
